Reporting to the Director Finance and Communications, this position is responsible for the management and smooth running of all administrative activities required by the Director as well as ad hoc administration activities required by the Chief Financial Officer. The individual in this role will develop a detailed understanding of the operations of the Finance Department and of the company while assisting the team with efficient and effective administration support.

75% of time will be spent planning and working proactively to anticipate and address the needs of the Director Finance and Communications. 25% of time will be spent assisting the CFO where needed.

Responsibilities of the position include, but are not limited to the following:

  • Manage the flow of information and documentation to and from the Finance Department with the appropriate level of confidentiality and urgency;
  • Organize meetings as required and ensure adequate resources for meetings;
  • Coordinate travel arrangements as needed;
  • Expense report compilation and reconciliation;
  • Preparing correspondence and assisting in the creation, consolidation and fine tuning of presentations, memos, minutes and reports;
  • General office administration (file management, photocopying, phone screening);
  • Maintain up to date the contact management database;
  • Event organizing and planning;
  • Be knowledgeable with regard to corporate authorities as well as current policies and procedures and maintain a current procedure manual detailing administrative processes ;
  • Teamwork - cooperate with and assist team members in work processes and problem solving.

Qualifications:

  • 3 - 5 years administrative assistance experience;
  • Demonstrated proficiency in Microsoft Office including PowerPoint, Excel, and Word;
  • Ability to learn new computer programs;
  • Strong organizational and time management skills;
  • Strong attention to detail;
  • Excellent written and interpersonal communication skills;
  • Professional and proactive working style;
  • Trustworthy and respects confidentiality;
  • Ability to learn and follow business and work processes;
  • Knowledge of business or finance and the energy sector would be considered an asset.
